What is the opportunity?:

As Legal Operations Project Manager, you will be a stellar, highly-motivated self-starter excited to support and grow with our fast-paced Legal Team here at Omnissa. The Omnissa Legal Team is a very close-knit group of colleagues who each wear different-colored hats and work well both independently and collaboratively as a group. In addition to working closely with other members of the Omnissa Legal Team, this role will partner cross-functionally with stakeholders across the Omnissa business to ensure projects are running smoothly. And you will bridge people, processes, and technology together to ensure operational efficiency across the department, all while maintaining focus on achieving strategic business goals that drive Omnissa’s collective success.

This role reports to our Director of Global Legal Operations. The Omnissa Legal Team values curiosity, exploration, and continuous learning. Primary Responsibilities Include

  • Organize the legal department’s day-to-day operational functions, including actively monitoring both internal and external legal e-mail distribution lists and aliases, and responding to inquiries promptly and/or routing them to the appropriate stakeholders.
  • Support a high-volume Non-Disclosure Agreement (NDA) intake process.
  • Manage the legal department vendors, invoicing, purchase orders and spend tracking, including vendor onboarding, completing required procurement questionnaires, vendor renewals and contract negotiations in collaboration with the Sourcing/Procurement and key legal stakeholders.
  • Serve as a liaison for legal vendors and outside counsel, ensuring compliance with Omnissa’s billing guidelines and optimizing vendor relationships.
  • Conduct detailed reviews of legal bills to validate charges and maintain cost discipline.
  • Prepare Quarterly Business Review (QBR) slides and diligently track team goals and KPIs.
  • Coordinate team meetings, presentations, and internal communications.
  • Scale, innovate, identify efficiencies and suggest improvements to existing legal processes to improve process automation and promote efficiency.
  • Develop detailed process documentation for various legal operational processes for education and to drive automation.
  • Support and facilitate various ad hoc projects and initiatives across the Legal Department by gathering project requirements, providing updates, resolving issues, and ensuring deliverables are completed accurately and on time.

What will you bring to Omnissa?

  • Bachelor’s degree from an accredited college or university
  • 5+ years of experience in project management, legal operations, and/or working as an in-house paralegal
  • Experience with legal invoicing and spend management, including supplier onboarding, following procurement processes, liaising with legal vendors and outside counsel, setting up new spend matters and opening purchase orders (preferred)
  • Prior experience reviewing and negotiating NDAs (preferred)
  • Proven ability to work collaboratively in a fast-paced environment while managing multiple priorities with attention to detail
  • High level of integrity, professionalism, and discretion in handling confidential information

Bonus Points If You Have

  • Proficiency in Smartsheet and Microsoft Applications (Outlook, Excel, PowerPoint)
  • Experience building and maintaining SharePoint sites
  • Corporate governance experience
  • Litigation support experience
  • Experience implementing and using contract lifecycle management (CLM) solutions
  • Background working for technology companies
  • Experience using AI solutions to scale the legal function
